Her data are solid, and her analysis is sound. But every few sentences, she says something like: \u201cWe had some problems with vendor compliance, and people were not happy about the delays.\u201d<\/p>\n<p>Later, over coffee, a colleague would say what everyone else felt: \u201cShe sounded uncertain. Like she wasn\u2019t in control of the situation.\u201d The manager wasn\u2019t uncertain.\u00a0<\/p>\n<p>She knew her material cold. But her word choices\u2014\u201dhad some problems,\u201d \u201cpeople were not happy\u201d\u2014made her sound passive, vague, and tentative. She\u2019d undermined her own authority without realising it.<\/p>\n<p>This happens constantly in professional communication. We reach for weak, generic words because they feel safe. We say \u201csaid\u201d when we mean \u201cinsisted.\u201d We write \u201cbig decision\u201d when we mean \u201ccritical decision.\u201d We describe ourselves as \u201chappy with the results\u201d when we\u2019re actually \u201cgratified by the outcomes.\u201d These small choices accumulate. Over time, they shape how colleagues, clients, and supervisors perceive our competence. The good news? Precision is a skill you can develop. And it starts with recognising the words that weaken your message.<\/p>\n<p>The usual suspects<\/p>\n<p>Certain words show up everywhere in workplace writing and speaking, and they\u2019re almost always too vague to do the job you need them to do.<\/p>\n<p>Take \u201csaid.\u201d It\u2019s a neutral reporting verb\u2014it conveys no tone, no emphasis, no commitment. Each alternative gives your audience more information\u2014and signals that you\u2019ve thought carefully about what you\u2019re communicating.<\/p>\n<p>The same principle applies to \u201chappy.\u201d In a professional context, \u201chappy\u201d can sound informal or even childish. \u201cWe\u2019re happy with the quarterly results\u201d lacks the weight of \u201cWe\u2019re gratified by the quarterly results\u201d or \u201cWe\u2019re encouraged by the quarterly results.\u201d The upgraded versions convey earned satisfaction and professional judgment.<\/p>\n<p>And then there\u2019s \u201cproblem.\u201d It\u2019s not wrong, exactly, but it can sound like complaining. \u201cWe have a problem with the budget\u201d feels passive. \u201cWe face a challenge with the budget\u201d frames the issue as something you\u2019re actively addressing. \u201cWe\u2019re confronting a crisis in the budget\u201d escalates the urgency and demands action. Choose based on the severity and the response you want from your audience.<\/p>\n<p>A word of caution<\/p>\n<p>Precision doesn\u2019t mean reaching for the fanciest word in the thesaurus. I\u2019ve seen writers replace \u201cuse\u201d with \u201cutilise\u201d or \u201chelp\u201d with \u201cfacilitate\u201d in a misguided attempt to sound more professional. That\u2019s not precision\u2014that\u2019s pretension, and your readers will sense it. The goal is to match your word choice to the meaning you actually intend. If your team solved a minor scheduling conflict, don\u2019t call it \u201ca triumph over adversity.\u201d If a client expressed mild concern, don\u2019t write that they were \u201coutraged.\u201d Exaggeration damages credibility just as much as vagueness does.<\/p>\n<p>Pronunciation matters, too<\/p>\n<p>Here\u2019s something most people don\u2019t think about: even if you choose the perfect word, mispronouncing it can undercut your authority.<\/p>\n<p>I\u2019ve heard professionals stumble over words like \u201ccomparable\u201d (it\u2019s COM-pra-ble, not com-PAIR-a-ble), and \u201cformidable\u201d (in British English, for-MID-a-ble; in American English, FOR-mi-da-ble).\u00a0<\/p>\n<p>These aren\u2019t obscure terms\u2014they\u2019re common in workplace communication. But if you stress the wrong syllable, your audience notices. They may not consciously register the error, but it creates a moment of friction. Your credibility takes a small hit. The fix is simple: when you\u2019re preparing a presentation or an important email, read it aloud. If you stumble over a word, look up the pronunciation. But the way your message lands\u2014with your reader, with your listener\u2014has shifted. You sound more confident, more credible, more in command of your material.
